Privacy Policy

This policy explains what information Hammer Systems collects, why, and how we handle it. It covers our website, our client platform, our text and email communications, and the data we process on behalf of our Clients.
1. Scope of this policy
This policy applies to our website at hammersystems.io, the forms and booking widget on our site, our client platform (Client Login), and the text and email communications we send. It also covers data we process on behalf of our Clients as part of their subscription.
In this policy, "Client" means a business that has purchased a Hammer Systems subscription, and "Customer" means a Client's own customer, meaning the people the Client does business with.
2. Two roles we play
We handle information in two different roles:
- As a controller. When we collect information about website visitors and Clients (like your name, email, phone number, or payment details), we decide how that information is used, and this policy explains our practices as that controller.
- As a processor. When a Client uses our services to contact their own Customers (for example, sending a review request), we process that Customer's information on the Client's behalf and under their instructions. The Client is the controller of that data and is responsible for having the right to contact their Customers. If you are a Customer and want to know how your information is used or want it removed, please contact the business you hired directly. If you are not sure who that is or cannot reach them, contact us and we will help route your request.
3. Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact information, such as your name, email address, and phone number.
- Business information, such as your company name, address, and website.
- Payment information, processed securely through Stripe. We do not store your full card number.
- Communications, including messages you send us by email, text, or through our booking and chat widgets.
- Booking information, such as appointment times you schedule with us.
- Usage, device, and log data, such as your browser type and pages visited on our website.
- Cookies from embedded widgets, such as our booking and chat tools (see Section 7).
- Integration data, when a Client connects their own tools (such as Jobber, Housecall Pro, ServiceTitan, QuickBooks, or a spreadsheet) to push Customer names, phone numbers, and emails into our system.
4. How we use information
We use the information we collect to:
- Provide and operate our services, including your website, review requests, and marketing tools.
- Send review requests and related messages to a Client's Customers, on that Client's behalf. This can include adding the Customer's first name to a photo of the Client's team in the request.
- Provide customer support.
- Bill you for your subscription.
- Improve our services.
- Market our services to prospective Clients. You can opt out of marketing messages at any time.
- Comply with legal obligations and enforce our agreements.
5. Text messaging (SMS)
If you provide your mobile number and consent to receive texts, we or a Client using our platform may send you text messages, such as review requests or appointment reminders.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Consent to receive texts is not a condition of any purchase. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop receiving texts, or reply HELP for help. You can also email ceo@hammersystems.io with questions.
6. How we share information
We share information with:
- Service providers who help us run our business, including LeadConnector/GoHighLevel (our CRM and messaging platform), Stripe (payments), Google, Meta, LinkedIn, and YouTube (marketing platforms), email and SMS carriers, and hosting providers such as Netlify.
- Clients, when the information is their own Customer's data collected through our services on their behalf.
- Legal authorities, when required by law, subpoena, or to protect our rights or the safety of others.
- A buyer or successor, if we are involved in a merger, acquisition, or sale of business assets.
We do not sell your personal information.
7. Cookies and tracking
Our marketing website does not currently run analytics or advertising pixels. Our booking and chat widgets, which run on GoHighLevel (LeadConnector), may set cookies needed for those tools to function. You can control cookies through your browser settings. If we add analytics or advertising tools in the future, we will update this policy.
Our website does not currently respond differently to browser "Do Not Track" signals.
8. How long we keep information
We keep information for as long as your account is active, and as needed for legal, tax, or billing purposes after that. If you are a Client, we will delete or return your data within 30 days after your subscription ends, unless the law requires us to keep it longer.
9. Security
We use reasonable technical and organizational measures to protect the information we handle. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
10. Your choices and rights
Depending on where you live, you may have the right to access, correct, or delete your information, and to opt out of marketing. You can:
- Opt out of marketing emails using the unsubscribe link in any email.
- Opt out of texts by replying STOP.
- Request access to, correction of, or deletion of your information by emailing us.
Residents of California and certain other U.S. states have specific privacy rights under state law. We aim to honor requests consistent with these rights regardless of which state you live in, where practical. To make a request, email ceo@hammersystems.io. We may need to verify your identity before completing your request. We will not treat you differently for exercising your rights.
11. Children's privacy
Our services are intended for businesses and individuals 18 years of age or older. We do not knowingly collect information from anyone under 18.
12. Data storage in the United States
We store and process information in the United States. If you are accessing our services from outside the United States, you understand and consent to your information being transferred to and processed in the United States.
13. Links to other sites
Our website may link to third-party sites, such as Google or social media platforms. We are not responsible for the privacy practices of those sites, and we encourage you to review their policies.
14. Changes to this policy
We may update this policy from time to time. Changes are effective as soon as we post the updated policy on this page. We encourage you to review it periodically.
